Terms of Service

1. Who we are

KitchenLog, operated by RCBM Apps, Blackpool, Lancashire, United Kingdom, is a UK-focused software service that helps food businesses run daily food-safety checks, temperature logs, cleaning records, allergen management and related compliance tasks. These Terms apply whenever you access our website, mobile app or any related service.

2. Your account

  • You must be 18 or over and authorised to register on behalf of your food business.
  • Keep your login details safe. You are responsible for all activity that happens under your account.
  • Tell us promptly if you suspect unauthorised access.
  • One subscription covers a single premises unless you have purchased a multi-site plan.

3. Subscriptions, trials and billing

  • New accounts start with a 60-day free trial. No payment card is required to begin.
  • After the trial, the Basic plan is charged at £7.95 per premises per month unless you are on a different plan.
  • The AI Allergen & Menu Manager add-on is an optional extra at £9.99 per venue per month and includes 100 product scans per month.
  • Prices include VAT where applicable and may change with 30 days' notice.
  • You can cancel at any time from your account settings. Cancellations take effect at the end of the current billing period; we do not refund fees already paid.
  • If payment fails, we may suspend access until the balance is settled.

4. Acceptable use

You agree to use KitchenLog lawfully and responsibly. You must not:

  • Enter false or misleading records, signatures or corrective actions.
  • Upload illegal, offensive or infringing content.
  • Attempt to break, overload or reverse-engineer the service.
  • Use the service in a way that could harm food safety or mislead an inspector.

We may suspend or close accounts that breach these rules.

5. Your data and responsibilities

You own the records, photos and signatures you enter. We process them on your instructions to provide the service, back them up and make them available to your authorised users. You are responsible for:

  • Making sure entries are accurate and complete.
  • Training staff on how to use the app correctly.
  • Complying with your own food-safety, employment and data-protection obligations.

6. Service availability and changes

We aim to keep KitchenLog available at all times, but occasional maintenance or outages may occur. We may update features, pricing or these Terms with reasonable notice. Material changes will be emailed or shown prominently in the app.

7. Limitation of liability

KitchenLog is provided to help you manage food-safety records, but it does not replace your own judgement, training or legal duties. To the extent permitted by law, our total liability for any claim arising from these Terms or the service is limited to the amount you paid us in the 12 months before the claim. We are not liable for losses caused by inaccurate data entry, misuse of the service or events outside our reasonable control.

8. Termination

You can close your account at any time. We may also suspend or terminate access if you breach these Terms, fail to pay, or if we discontinue the service. On closure, your data will be handled as described in our Privacy Policy.

9. Governing law

These Terms are governed by the laws of England and Wales. Any dispute will be resolved in the courts of England and Wales.
